Aquaservice is the national leader in water dispenser distribution, serving both businesses and households, with more than 500,000 customers and 3 million users a day. Thanks to Namirial’s electronic signature, it manages the documentation of nearly 2,700 people across 60 branches in an agile and secure way.
Currently, with nearly 2,700 people across 60 branches and its own warehouses spread across the country, electronic signature has become an essential tool for managing document signing for employees: contract changes, renewals, individual agreements, amendments, and more.
In this case, Mar Moyano Ojeda, from the People and Culture Area at Aquaservice, shares her experience with the electronic signature implemented in her organization and department.

The Challenge: Managing a Growing Workforce Across Branches Throughout Spain
In January 2019, there were 1,333 people across nearly 50 branches in Spain, with an expected workforce growth of 20% per year.
As an HR area, they reflected on their mission, vision and goals. “How did we imagine working, and what projects were we going to develop in the coming years?” notes Mar.
In this sense, Aquaservice faced 2 major challenges:
- Growing in quality and quantity with Aquaservice: we wanted to operate administratively in an excellent way to become a benchmark in document management, aligned with the company’s goals.
- Being a connected HR department, integrating all the services provided from the area to improve the employee experience and positively impact new hires, as well as optimizing our management by reviewing and improving processes.
“Namirial covers the needs of Aquaservice’s People and Culture Area across all document signing management, thanks to its legal reliability and the excellent experience it provides our employees.”

Solution: Using Namirial’s Platform to Send Documents for Signature and Certified Email
Since March 2019, Aquaservice has incorporated Namirial‘s electronic signature into its document onboarding process: new hires receive a welcome email to the Aquaservice family with documentation from the whole People and Culture area, and the digital signature of these documents is collected from all employees.
They also use Namirial to send any document requiring employees’ digital signature in their daily dealings with people at any branch in Spain, such as contract changes, renewals, individual agreements, amendments, and more.
Example of a signature workflow for a document sent to the whole workforce:
- The HR professional accesses Namirial‘s web platform.
- They upload an Excel file with names, phone numbers or email addresses of the whole workforce.
- They configure the document and send it to everyone.
- Each employee receives their document individually.
- They track signature traceability in real time with detailed statistics.
Results: They Send Documents to the Whole Workforce or Individually, Quickly, and Get Them Signed Immediately
They have improved the experience of people who are already part of Aquaservice and positively impact new hires joining the company.
They optimize internal resources, with less administrative management and greater productivity.
They have improved document signing processes, avoiding losses and errors, and therefore enjoy greater legal certainty.
“Thanks to Namirial, we can send documents to our employees quickly and get them signed immediately, greatly helping the day-to-day management of our HR area.”
— Mar Moyano Ojeda, People and Culture Area, Aquaservice
2 Milestones Where Namirial Was Key
- Remote work: Law 10/2021 on remote work states that individual agreements must be made with each person working under this arrangement. Aquaservice handled this with Namirial, collecting workplace data to carry out risk assessments in compliance with the preventive requirements of Law 10/2021.
- Coordination of Business Activities: Aquasalud currently manages access for water supply at more than 1,000 customer delivery points nationwide. At each delivery point several people are authorized, requiring them to keep occupational health and safety documentation up to date, delivered and signed. They can send documents quickly and get them signed immediately, greatly helping day-to-day management.
