Driven by the desire to simplify its business processes, Grenoble École de Management (GEM) chose to digitize its admissions journey using Namirial’s electronic signature.
The Challenge: Harmonizing and Simplifying the Admissions Journey
Today made up of 5 entities, each with its own different admissions administrative processes, it had become imperative for GEM to harmonize and simplify them.
Several times a year, admission letters are sent to students who have passed the school’s entrance exam. As well as being a costly process (printing the letter, stuffing envelopes, postage…), it was also time-consuming for staff. It was therefore important to find a simple, effective solution to enable students and school directors to sign documents.
Based on this observation, electronic signature emerged as the essential element for gaining efficiency in a digitized admissions journey.
The Solution: Namirial, GEM’s Choice
GEM chose Namirial‘s electronic signature, which is simple, secure, and compliant with European eIDAS regulatory requirements. This solution integrates via an API (Application Programming Interface) directly into GEM’s technical and technological environment.
Thanks to a workflow system, the admissions department can automate the student journey and manage the management team’s signing steps before sending the admission forms to students. In parallel, GEM chose to use the electronic seal solution to digitize the school’s stamp, applying a digital equivalent to documents.
In practice, the student receives an email invitation to sign the admission letter; it takes just a few minutes to sign it. After reading it and giving their consent by ticking the relevant boxes, the student receives a confidential 4-digit code by SMS, which they enter to complete the electronic signing process. This verification step using an OTP (One-Time Password) code, sent by SMS to the signatory’s mobile phone, guarantees their authentication.
Once signed, the documents are immediately sent back to the admissions department, as well as by email to the student.
The Results: A Winning Bet
Namirial‘s electronic signature solution has brought numerous benefits to GEM since it was put into use.
Electronic signature marks the end of paper mailing and all the time-consuming actions associated with this method. The admission letter is now sent directly through the school’s business application: once the letter is sent, it takes only a few minutes for the student to sign it.
Costs related to processing files have also been reduced. Both the admissions department and students no longer need to print documents, pay postage, or spend time on these tasks.
Finally, Namirial‘s electronic signature complies with European eIDAS regulations and provides all the necessary guarantees in terms of security and risk management for signatory students and GEM alike. The use of electronic signature is also opening up discussions about rolling it out to other services, such as attendance sheets, internship and apprenticeship contracts, or internal training requests.
