The Challenge
Digitalization has always been part of this law firm’s DNA, known for blending tradition with modernity.
[A]CODE Abogados knew that to compete in the legal sector it had to offer the best advice, paired with the latest digital tools.
Specifically, it wanted to overcome the friction caused by signing certain documents that require multiple signatories located in different places.
The traditional way meant separating each page to be signed and sending it by email to each signatory. They had to print, sign and scan the document to send it back. Once all signatures were collected — a process that consumed considerable time — the pages had to be reattached to the original document.
It was neither efficient nor practical, and it involved a paper-based management approach that needed to change.
“Namirial has allowed us to simplify a routine task such as signing corporate documentation, with the highest legal guarantees.”
— Ricardo Torres, Partner at [A]CODE
Solution
They found that Namirial was their ideal solution. They could use electronic signature through Namirial’s web platform, without investing time in any integration, allowing them to implement and roll out this technology across all of the firm’s operations from day one.
Here’s how the process works:
- The lawyer responsible for the deal accesses Namirial‘s platform to send, for example, a Shareholders’ Agreement and Investment Agreement to several recipients.
- They configure the document in parallel mode, allowing all signatories to receive the document at the same time and sign whenever they choose.
- Signatories receive the document to sign via email or SMS, with no app download required.
- After signing (with a mouse, stylus, or finger, depending on the device), the process is validated and all parties receive a copy of the signed document.
“Namirial offers three advantages to law firms: savings in time and cost, security, and agility.”
— Ricardo Torres, Partner at [A]CODE
Results
The use of electronic signature has simplified the daily work of the professionals responsible for different types of operations — commercial, labor, or urban planning — while projecting a modern, innovative image of the firm to its clients.
[A]CODE Abogados has become more efficient and now offers a better service and experience to its clients with a 100% digital, smooth, uninterrupted signing process.
Electronic signature has undoubtedly proven highly useful — not only by speeding up management processes and saving administrative costs in the short and long term, but also because it currently represents the ideal way to ensure a firm’s normal activity with full legal guarantees.
“Once you upload the document to the platform and send it to the signatories, you don’t need to pay it much attention — once it’s signed, you get a notification by email.”
— Ricardo Torres, Partner at [A]CODE
Beyond Electronic Signature
But [A]CODE Abogados doesn’t only use Namirial‘s electronic signature. It has gone on to implement it for other use cases, such as documentation related to furlough schemes (ERTEs) and out-of-court claims, among others.
In addition, the Secretariat team uses another of the services, certified communications, to certify the delivery of emails and attached documents with full legal validity.
“With Namirial we send certified emails, similar to the well-known burofax, in a simple way and at a lower cost.”
— Ricardo Torres, Partner at [A]CODE
